Delegating an Account

Set-Up (performed by ‘DAA’ Department Application Administrator of account owner)

  1. Log-in to the eTime Time Reporting system
  2. Highlight Control Data
  3. Click on Delegated Accounts
  4. Below the Search for a Delegation box, in the green body of the page, Click the [Add Delegation] button.

  5. The Account Delegation Screen appears

  6. Each open field requires the following Information:
    1. Valid From – This date defaults to the date on which the account is delegated (today’s date) and is not changeable
    2. Valid To - This date defaults to a date twenty (20) years in the future. If the delegation of the account needs to be limited to a specific period of time, then this field can be changed to reflect the date on which the delegation should end.
    3. Delegated Account – This is the account number that is being delegated.
    4. Controlling CUC – This is the CUC that owns the account and is delegating the account to another department/CUC.
    5. Preparer CUC – This is the CUC to which the account is being delegated.
  7. When all fields have been accurately completed, Click the [Add] button.

Use – What it looks like to report time on a delegated account

  1. A 'Delegated Account' occurs when a department who owns an account has given permission to another department to submit time on that account. Once a delegation is set-up, the department that the account is delegated to can submit time for employees paid on that account. (In basic terms, they become a form preparer for that CUC, but only for that delegated account.)
  2. Log-in to the eTime Time Reporting System
  3. Highlight Forms
  4. Click on Create Form
  5. In the Begin a Payroll Form section, select the appropriate pay period.
  6. The CUC selection list will now include the CUC that has delegated an account to the form preparer. Select that CUC
  7. Choose the appropriate Form Type and Click on the Continue button.
  8. The Employee Selection list will show any employees attached to that account for that CUC. Simply select the employees to be included on the time sheet form and Click on the Create Form button.
  9. The time sheet form will appear as if it was created by the CUC that owns the account but the form preparer CUC will show in the form information detail as the ‘Prepared By’ CUC.

  10. Simply complete the time sheet form as necessary and submit the form for approval. The submitted time sheet form will follow the approval path of the account owner.
