Employee Self Service (ESS) for Student Time Entry Instructions Guide
- Students will login to the EBS Portal:
- Click My Time & Payroll
- Click Time Entries & Statement
- The Calendar View and the Timesheet will open
- You can expand Personnel Assignment tray for details.
- This is helpful for students with more than 1 assignment because they will need to select the correct assignment for time entry
- **Students with only 1 personnel number will not need to expand this to select the assignment to enter time

- The Time sheet will open with current week
- You can navigate using the previous period/next period buttons, or by selecting a date in the drop down and clicking ‘Go to Date’.
- You can also navigate by clicking on a week in the calendar view, in this example, I have clicked on the week of October 27th; it is highlighted in green. A purple border appears around current date.
- Once in the desired week, all time entries must be associated to a funding line. To populate the funding line, click on the Worklist button.
- Then click Import
- If there is more than 1 permissible account, the student will have to select the correct line. 1st account in list always comes checked
- To select a different fund, highlight the correct row and click Import
- Students can Select All
- Students can select more than 1 Account by checking the applicable rows

- Once the desired fund(s) are selected, The Time Sheet will be populated with the funding information. There can be multiple entries (rows) for the same day if more than 1 funding string is required
- Select Student Hourly (2020) Attendance [Att./abs.]Type.
- Enter hours for that day(s). Hours can be entered to the 10th of the hour.
- A comment can be entered into the details box that can be viewed by the time approver (example Help Desk). There is a 40 character maximum. The details also display the funding information, date, and hours for review. Click the icon in the Details Column.
- Click OK when finished entering comment and/or reviewing details.
- Comments are NOT necessary to save time entry
- When Time Entries are complete, Click SAVE
- Save button is located in the bottom Right Corner of the Timesheet
- Entries will appear yellow in the calendar view indicating Awaiting Approval
- Common Error 1: Student did not import Funding (Account) Information from Worklist
- Common Error 2: Student did not select the Correct Personnel Assignment from the Drop Down (time entry area grayed out)
- Common Error 3: Student selected the wrong Attendance Type
